Calendly Integration: Automatic Waiver Emails on Booking
WaiverChaser now connects to Calendly. When a client books an appointment, they get a waiver email automatically. No manual sending, no follow-ups.
WaiverChaser now integrates directly with Calendly. When a client books through your Calendly link, they automatically receive a waiver signing email. No copying links, no remembering to send it, no follow-ups.
How it works
You connect your Calendly account to WaiverChaser through OAuth (one click, no API keys). Then you map your Calendly event types to your waivers. A "Personal Training Session" event type can send your training waiver. A "Trial Class" event type can send your general liability waiver. Each event type maps to whichever waiver makes sense for that appointment.
Once a mapping is saved, the flow runs on its own:
- A client books through your Calendly link
- Calendly notifies WaiverChaser immediately
- WaiverChaser sends the mapped waiver to the client's email
- The client opens the link, signs on their phone, and the record saves automatically
By the time the appointment arrives, the waiver is already done.
Why this matters
If you're already using Calendly for booking, you've probably been handling waivers separately: copying a public link into a confirmation email, or sending a waiver manually after each booking. That works, but it depends on you remembering every time. One missed send means a client shows up unsigned, and you're dealing with it at the front desk.
The integration removes that manual step entirely. Every booking triggers a waiver email. If the client has already signed (from a previous booking or a direct send), WaiverChaser skips the duplicate and doesn't email them again.
Setting it up
The setup takes a few minutes:
- Go to Account in your WaiverChaser dashboard and enable Calendly in the Integrations card
- Go to Calendly in the sidebar
- Click Connect Calendly and authorize the connection
- Your Calendly event types appear automatically
- Map each event type to a waiver (and optionally a location for branded emails)
That's it. New bookings start sending waivers immediately.
You can add, change, or remove mappings at any time. If you add a new event type in Calendly, it shows up in the mapping list on the next page load. If you disconnect Calendly, the webhook is cleaned up automatically and no more emails go out.

What about Zapier?
If you've been using the Calendly-to-WaiverChaser Zap (described in the Zapier docs), that still works. The native integration is simpler though: no Zapier account needed, no Zap to maintain, and duplicate prevention is built in. For most Calendly users, the native connection is the better path.
Plan availability
The Calendly integration is available on Starter plans and above. If you're on the free plan, you'll see the Calendly page in your dashboard but won't be able to connect until you upgrade. See the pricing page for plan details.
